Privacy Policy

4VISION LTD ("we", "us") provides 4VISION Delivery Manager, a platform for managing purchase orders, deliveries, receiving, containers and air cargo. We are the data controller for account information and the data processor for the operational information your company puts into the platform.

• Account details: name, email address, password (stored only as an encrypted hash), role and the company, warehouse or sales office you belong to.
• Company details: company name, invite codes, regional settings, plan and the number of paid places.
• Operational records: purchase orders and uploaded documents, suppliers, delivery bookings, pallet counts, temperatures, notes and comments.
• Receiving records: driver name, vehicle registration, date and time of arrival, quantities received, discrepancies, batch codes and expiry dates.
• Freight tracking: container and air waybill numbers, carrier, vessel or flight, ports, positions and event timelines returned by our tracking partner.
• Billing: plan, places purchased, invoices and payment status. Card details are handled by Stripe and never reach our servers.
• Technical records: sign-in attempts, IP address for rate limiting, error logs and records of calls to third-party services.

• Contract: to run your account, process purchase orders and deliveries, and provide receiving and tracking.
• Legitimate interests: to keep the platform secure, prevent misuse, support you and improve the service.
• Legal obligation: to keep billing and tax records and to answer lawful requests.
• Consent: for desktop notifications and any optional marketing, which you can withdraw at any time.

Documents you upload are read by an automated extraction service so that order details can be filled in for you. A person in your company must review the result before it is saved. No automated decision with a legal effect on an individual is made.

We use a small number of carefully chosen providers, each bound by contract to protect your data:

• Our cloud hosting and database provider (data stored in the EU/UK region).
• Stripe, for subscriptions and payments.
• ShipsGo, for container and air cargo tracking, where you enable it.
• Our AI extraction provider, for reading uploaded purchase order documents.
• Email delivery and error monitoring providers.

We never sell your data or share it for advertising.

Operational records are kept while your company is active and for 12 months after your subscription ends, so that data can be restored if you return. Billing records are kept for 7 years to meet UK tax rules. Technical and rate-limit logs are kept for up to 90 days. You can ask us to delete your company's data sooner.

Access is protected by individual sign-in, role-based permissions and row-level database rules, so a person only reaches the company, warehouse or sales office they belong to. Data is encrypted in transit and at rest, uploaded documents are held in private storage reached only through short-lived links, and administrative keys are never exposed to the browser.

Under UK GDPR you can ask for a copy of your data, correction of anything inaccurate, deletion, restriction, portability, or object to processing based on legitimate interests. Email us and we will respond within one month. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.

We use only what the platform needs to work: a sign-in session token, your saved preferences such as column choices and regional settings, and a token that keeps a demo workspace separate from other visitors. We do not use advertising or cross-site tracking cookies.

The platform is for business use and is not intended for anyone under 16.

If we make a material change we will tell account owners by email and update the date at the top of this page.
